Import your Awin transactions

Export pending Awin transactions from Awin Classic or the new Awin platform, import them into AffCheck, and what the auto-validation period means.

Awin keeps every tracked sale pending until you approve, decline or amend it. Anything still pending when the auto-validation period ends is approved automatically: "If a commission isn't reviewed before the period ends, it will be automatically approved in line with your program's auto-validation settings."1 The import is how AffCheck gets that pending list.

Export the pending transactions

Awin Classic

  1. Open Reports → Performance → Transactions.
  2. Set Transaction Status to Pending and pick the dates you want to check.
  3. Options → Export as CSV.2

New Awin

  1. Open Commissions → Review commission payments.
  2. Choose Review pending.
  3. Export as CSV.3

Export CSV, not Excel — a spreadsheet file is not read.

Import it

Drop the file on the network zone of the Imports screen. AffCheck recognises both Awin layouts from their header rows and tells you which one it saw. The columns it looks for are Awin's own field names: Order Ref, Sale Amount, Commission Amount, Commission Status, Transaction Date, Publisher ID, Publisher Name, Voucher Code and Transaction ID.

Column names are not confirmed yet

Awin does not publish the exact headings of the transactions report, so the preset follows the Transaction API's field names. If your export uses different headings, AffCheck asks you once which column is which and remembers it. That is expected, not an error.

Which rows to export

Pending rows are the ones you can still act on — only pending transactions can be amended on Awin.4 A wider export is still worth having: already approved and declined rows feed the "did auto-validation catch it?" card, which shows what Awin declined on its own and what it approved anyway. Nothing settled is ever turned into a suggestion.

The deadline

Awin's auto-validation period is set per programme and cannot be switched off. The maximum is 67 days on Awin Access; on Accelerate and Advanced it depends on sector and contract.5 AffCheck starts from 30 days — Awin's own worked example — and you set your real period on the Deadlines screen, where every pending row is then re-dated.

Declining and amending

A full refund or a cancellation is a decline. A partial refund is an amend: you change the sale amount to what the customer kept and Awin recalculates the commission — you cannot amend the commission directly.4 That is exactly how AffCheck suggests them.

If you came from ShareASale

Questions, answered

Awin Classic or the new platform?

Both work. Awin Classic exports from Reports → Performance → Transactions; the new platform from Commissions → Review commission payments → Review pending. Only Awin Classic has the batch upload for declines.

Should I export approved transactions too?

Only pending transactions can be declined or amended. Exporting a wider range is still useful: AffCheck uses already-settled rows to show what Awin’s own auto-validation caught and what it approved anyway.
